Book Your Trip Japan ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy describes the types of information we collect, how we use and share it, and your choices and rights regarding your data. It applies to bookyourtrip.jp and all related services. By creating an account or making a booking, you agree to this policy.

Information you provide directly
When you create an account, make a booking, or contact us, we collect: your full name, email address, phone number, billing and payment details (processed securely via our payment partners — we do not store raw card numbers), travel preferences, passport or identification details where required by tour operators, and any communications you send us.
Information collected automatically
When you visit our website we automatically collect: IP address and approximate location, browser type and version, device identifiers, pages visited and time spent, referring URLs, and booking interaction data. We use cookies and similar technologies for this — see our Cookie section below.
Information from third parties
If you sign in via Google or another OAuth provider, we receive your name, email address, and profile picture from that provider. Tour operators you book with may share fulfilment-related information such as confirmation numbers or participation records with us.
2. How We Use Your Information
To operate the platform
We use your information to process and manage bookings, issue confirmations and e-tickets, facilitate communication between you and tour operators, process payments and refunds, and provide customer support.
To personalise your experience
We use browsing behaviour and booking history to show relevant tour recommendations, send personalised travel inspiration, and remember your preferences across sessions.
For safety and legal compliance
We may use your information to detect and prevent fraud, verify your identity where required, comply with applicable laws and regulations (including Japanese tourism and data protection laws), and respond to lawful requests from government authorities.
For communications
With your consent, we send booking confirmations, trip reminders, and — where opted in — promotional emails about new tours and offers. You can unsubscribe from marketing emails at any time via the link in any email or through your account settings.
5. Data Retention
Retention periods
We retain account and booking records for as long as your account is active and for a minimum of 7 years thereafter to comply with tax, accounting, and tourism regulations in Japan and your country of residence. We delete or anonymise data that is no longer required.
Deletion requests
You may request deletion of your account and personal data at any time by emailing us at support@bookyourtrip.jp. We will action deletion within 30 days, subject to any legal retention obligations.
6. Your Rights
Access and portability
You have the right to request a copy of the personal data we hold about you in a structured, machine-readable format.
Correction
You can update your name, email, phone number, and other profile details directly in your account settings at any time.
Objection and restriction
You may object to or ask us to restrict processing of your personal data where you believe we have no legitimate basis to continue doing so.
Withdrawal of consent
Where processing is based on your consent (e.g. marketing emails), you may withdraw consent at any time without affecting the lawfulness of prior processing.
How to exercise your rights

7. Security
How we protect your data
We implement industry-standard security measures including TLS encryption in transit, encrypted storage for sensitive fields, access controls limiting data to authorised personnel, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but we take all reasonable precautions.
8. International Transfers
Cross-border data flows
Book Your Trip is operated from Japan. Your data may be processed in countries where our service providers operate — including the United States, the European Economic Area, and Southeast Asia. We ensure appropriate safeguards (standard contractual clauses or equivalent) are in place for any such transfers.
9. Children's Privacy
Age requirement
Our platform is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, please contact us immediately and we will delete it.
10. Changes to This Policy
How we notify you
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and by posting a prominent notice on the platform. The 'Effective Date' at the top of this page will always reflect the date of the most recent revision. Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
